Position Overview:

As a Project Controller at Transnet, you’ll be responsible for providing administrative support to project managers, ensuring that projects run smoothly and remain aligned with organizational goals. You will play a pivotal role in project governance by handling financial control, document management, and the overall coordination of project activities.

The role reports to the Executive Manager and requires a proactive and detail-oriented individual to manage all aspects of the project, from scheduling and budgeting to risk management and communication.

Key Responsibilities:

  1. Project Planning & Scheduling:
    • Assist in the development of detailed project schedules and resource allocation plans.
    • Collaborate with project teams to create project plans and ensure all steps are approved by the project manager before execution.
  2. Project Monitoring & Supervision:
    • Help monitor project tasks and assist the project manager in ensuring that deadlines, budgets, and objectives are met.
    • Track project risks and issues, capturing them on CURA and the issue log to ensure timely resolution.
  3. Administrative & Logistical Support:
    • Provide admin support for project-related activities, including organizing meetings, workshops, and training sessions.
    • Arrange travel logistics for teams and provide support for project events, such as booking venues and confirming attendance.
  4. Financial & Invoice Management:
    • Ensure invoices are received on time, checked for accuracy, and submitted to the Program Administrator.
    • Capture invoices in SAP IM/PS and track expenses for reconciliation.
  5. Reporting & Communication:
    • Prepare regular project and portfolio reports, including weekly, monthly, and ad-hoc reports.
    • Facilitate effective communication with both internal and external stakeholders to ensure smooth project progress.
  6. Risk & Issue Management:
    • Ensure that all project risks are tracked and properly documented.
    • Assist in identifying project issues and provide proposals for improvements to the team.
  7. Governance & Quality Assurance:
    • Maintain knowledge of governance structures and support audits, health checks, and gate reviews in preparation for quality assurance assessments.
